Delete your Loopapa account and data

This page explains how to delete a Loopapa account and the data attached to it. It covers deletion from inside the app, how to request deletion by email if you cannot open the app, exactly what we erase, and the few records we are required to keep. It applies to the Loopapa mobile app and the web app.

Deletion is immediate and permanent

When a deletion runs, the data is gone at once. There is no waiting period, no cancellation window, and no way for us to bring it back. Export anything you need to keep before you start.

1. Who can delete a Loopapa account

Loopapa is used by businesses, so it depends on which kind of account you have. A workspace owner can delete their own account and the business inside the app. Staff and managers cannot, because their account was created by their employer and the employer controls the workspace data. Find yourself below.

Workspace owner

You created the business in Loopapa and you pay for it. You own one or more businesses in the app.

What deleting means for you

  • Your own account is deleted.
  • The businesses you own are deleted, with all the data inside them.
  • Every staff and manager account in those businesses is deleted too. They lose access immediately.

Where you go from here: delete it yourself in the app — see section 3. If you cannot sign in, use the email route in section 4.

Staff and manager

Your employer created your account and added you to their workspace. They control the workspace and the data in it.

What this means for you

  • There is no delete button in the app for your role.
  • Your employer is the data controller for your work records, so the decision sits with them.
  • If the owner deletes the whole business, your account goes with it.

Where you go from here: ask your employer first. You can also email us using section 4. We will pass your request to the workspace owner as the data controller and tell you once we have.

2. Before you delete: export your records

Read this before you start. Once a deletion runs, the data is gone — we cannot look it up, restore it, or send it to you afterward. If you need any of your records for your own files, for an inspection, or for accounting, export them first.

Food-safety records: export before you delete

If your business is legally required to keep food-safety or HACCP records, you must export them before deleting your account. Deletion is permanent and we cannot recover these records afterward, for you or for an inspector. Keeping food-safety records for the legally required period is the responsibility of the food business operator, not Loopapa — we only store the data you enter while your account is active.

Worth exporting before you delete

Attendance and work-hours records, for payroll or labor-law purposes.
Temperature and cleaning logs, for HACCP and food-safety compliance.
Completed tasks and reports, including any photos attached as evidence.
Any Handbook (SOP) content your business relies on day to day.

Workspace owners can export these from Reports inside the app, as CSV or PDF, while the account is still active. We recommend doing this a few days ahead of a planned deletion, not on the same day.

Please note: this page is general information, not legal or accounting advice. Retention rules for food-safety, tax, and employment records vary by country and by business type. If you are unsure what you are required to keep and for how long, check with your local authority or a professional adviser before you delete anything.

3. Delete your account inside the app

This path is for workspace owners only. Managers and staff do not see this option, because their account belongs to their employer's workspace — see section 1.

    Open Settings, then Danger Zone

    In the app, go to Settings → Danger Zone and tap Delete Workspace.

    Read the warning and confirm

    A screen explains what deletion does. Tap Confirm to continue.

    Check the box to confirm you understand

    Tick the checkbox confirming you understand this action is permanent, then tap Confirm again.

    Type DELETE to confirm

    Type the word DELETE exactly as shown. This is a safety check so the workspace is never removed by accident.

    Verify it's you

    If you signed up with a password, enter it. If you signed up with Google, you don't have a Loopapa password to type — instead, tap the button to sign in with Google again to verify your identity. Either way, once this step succeeds the deletion runs immediately.

Please note: once identity verification succeeds in step 5, deletion starts right away. There is no further confirmation screen and no way to cancel or undo it after this point.

4. Request deletion by email

Can't open the app, or don't have the option shown in section 3? Email us and we'll handle it from our side. This works whether you're a workspace owner without app access, or a staff member or manager asking us to pass a request to your employer.

  • The email address or username on the account you want deleted.
  • The name of the business (workspace) the account belongs to.
  • Whether you're the workspace owner or a staff/manager account.
We acknowledge your request within 7 days
We complete verified deletions within 30 days

We verify your identity before we act on any request, so we may reply asking for more details. If we can't confirm you're the account holder — or, for staff and manager accounts, that the request should reasonably reach the workspace owner — we'll tell you what we still need, and the 30-day window restarts once we have it.

5. What gets deleted

When an account or a business is deleted, this is what goes with it. In plain terms, no technical jargon.

  • Account credentials and profile

    Name, email or username, role, and profile photo.

  • Attendance records

    Clock-in and clock-out history, including the precise GPS locations recorded at each event.

  • Temperature and food-safety logs

    HACCP checks, cleaning records, and equipment readings.

  • Tasks and their evidence

    Tasks, task comments, task photos, and any other uploaded evidence attached to them.

  • Handbook (SOP) content

    Procedures and guides the user created in the team Handbook.

  • Chat messages

    Messages sent in task discussions and team chat.

  • Push-notification device tokens

    The identifiers that let us send notifications to your device.

Please note: deletion is permanent. Once these records are deleted, we do not keep a copy, we cannot look them up on your behalf, and we cannot restore them — not for you, not for an inspector, not for a support request. If you think you might need any of this later, export it first (see section 2).

6. What we cannot delete, and why

We delete everything listed in section 5. A few things sit outside our control or belong to someone else's records, so they follow different rules.

  • Payment and invoice records held by Stripe

    Our payment provider, Stripe, keeps its own records of your payments and invoices where accounting and tax law requires it. We do not control Stripe's retention schedule and cannot force an earlier deletion there. To be clear: Loopapa never stores your full card number on our own servers.

  • Infrastructure logs held by Google Firebase

    Our hosting provider, Google Firebase, generates its own low-level infrastructure logs (such as IP address and device information) as part of running the servers. These follow Google's own retention schedule, not ours, and we cannot reach in and delete them individually.

  • A staff member's contribution to the business's own records

    If a staff member deletes their personal account, their profile and login are removed as described in section 5. But the operational history they contributed to — completed tasks, logged temperatures, attendance entries — remains part of the employer's business records, because it belongs to the workspace owner's account, not the staff member's. Deleting a staff account does not erase the business's operational history.

Please note: the items above are held by third-party providers or belong to someone else's account, so they sit outside what a Loopapa deletion request can remove. If you have questions about a specific provider's own retention rules, contact them directly, or reach out to us and we'll point you in the right direction.

7. Who processes your data

While your account is active, your data is processed by two providers on our behalf, both under data-processing agreements: Google (Firebase, for hosting and storage, and Vertex AI, for voice and text processing) and Stripe (for payment processing, on paid plans only). All data sent to these providers is encrypted in transit.

We do not use any advertising, analytics, or tracking SDKs in the app. Nothing about how you use Loopapa is sold or shared for advertising purposes.
