Talk It Out on the Task: In-Task Chat

Every Loopapa task has a built-in Discussion thread. Text, photos, Live camera badge, AI translation, seen receipts — all inside the task, not scattered across

In-Task Chat

The conversation belongs inside the task.

Questions, clarifications, photo evidence, status updates — every team chat about a task lives in its own thread, right where the work is. No more chasing context across messaging apps or hoping someone reads a group chat in time.

Loopapa attaches a dedicated Discussion thread to every task. Anyone the task is assigned to can send a message, share a photo, or ask a question — and the right people are notified instantly. The full conversation stays with the task forever, so managers and staff always have a clear trail of what was said, when, and by whom.

Should I shut off the extractor fan first or is it safe to clean while running?

How It Works

A thread opens the moment a task is created

No setup, no extra steps. Every task in Loopapa comes with a Discussion thread built in. Here's what happens from the moment a task is assigned to the moment it's done.

  1. 1

Task is created — thread opens automatically

The moment you create a task and assign it, a Discussion thread is created alongside it. No buttons to press, no channels to configure. The first system line — "Task created · [time]" — marks the start of the record.

  2. 2

Assignees send messages, questions, or photos

Anyone the task is assigned to can open the Discussion tab and type a message. Staff ask questions, managers reply with instructions, and the whole thread stays inside that one task — visible only to those involved.

  3. 3

The thread tracks the task's progress automatically

As staff pick up the task, complete it, or hand it off, the system adds timestamped lines to the chat — "Alex picked up the task · 09:20", "Maria marked as Done · 11:45". You get a live audit trail without anyone writing a single status update.

  4. 4

Everyone is notified — and knows their message was read

Every new message triggers a push notification to the other participants. A blue dot on your sent message confirms the manager has seen it. No wondering if your question landed.

Unread badge on the task card

A solid envelope badge appears on any task card where someone sent you a message you haven't read yet. Once you open the thread, it clears automatically — no manual "mark as read" needed.

Got it — I'm on it now.

09:14

Blue dot = your message was read

When the manager opens the thread and sees your message, a blue dot appears next to your checkmark. Staff know their question reached the right person — no more sending a second message just to check.

Seen by manager

Edit before it's read, locked after

Staff can edit or delete their own messages — but only until the manager has read them. Once that blue dot appears, the message is locked. Managers can always delete any message, but can only edit their own. The thread stays honest.

Team tasks share one thread

When a task is assigned to the whole team, everyone works in a single shared Discussion thread. System messages show exactly who picked up the task and when — so the admin sees the full picture without asking anyone for an update.

Private by default — only the right people see it

Discussion threads are not a company-wide chat. Only the admin and the staff members assigned to that specific task can see its thread. Everyone else sees nothing — keeping conversations relevant and confidential.

Chat in your language.
No awkward pauses, no switching apps.

Multilingual teams work faster when the language barrier disappears inside the task. Loopapa's built-in translation lets every team member read any message in the language they set in their profile — without leaving the conversation, without copying text into another app, and without losing the tone of what was actually said.

This isn't dry machine output. The translation is AI-powered — it reads the full message in context and renders the meaning the way a person would. The urgency in a rushed update stays urgent. The warmth in a quick confirmation stays warm. You get the real message, not a parse of it.

Translation is available on Starter, Pro, and Enterprise plans. On Free, messages appear in the language they were sent — the chat still works fully, translation just isn't available yet.

Pro · Enterprise

A photo is worth a thousand follow-up messages.

Sometimes words aren't enough. A cracked tile, a restocked shelf, a leaking pipe — some things need to be seen to be acted on. With Loopapa, staff on Pro and Enterprise plans can send photos directly inside the task's Discussion thread, from their camera roll or straight from the camera.

No WhatsApp groups, no emailed photos that get buried. The image lives exactly where it belongs — inside the task it documents — and the manager sees it the moment it's sent.

Live Capture Only in Loopapa

Managers know the photo is real — and taken right now.

When a staff member takes a photo directly through the app's camera — not from their gallery — that photo is marked with a Live badge visible to the manager. It's proof the photo wasn't taken earlier and uploaded later. Perfect for before/after task documentation, situation reports, or any moment where the manager needs to know what's happening right now.

No other task-management app does this. The Live badge turns a simple photo message into verified, timestamped visual evidence.

Photo sharing is available on Pro and Enterprise plans. On Free and Starter, the Discussion thread is fully active for text — photos unlock when you upgrade.

The Grand Meridian Hotel

How the housekeeping team runs a full floor — without a single phone call.

Every morning at 07:00, the housekeeping manager at The Grand Meridian creates a recurring task: "Deep-clean and turn over rooms on Floor 4." It's assigned to the floor team — Rosa, Tomáš, and Amara — and the Discussion thread opens automatically the moment the task is created.

  1. 1

    07:00 — Task created

The thread opens. Rosa has a question immediately.

Rosa opens the task on her phone and types in the Discussion tab: "Room 412 still has a guest — do I skip it or wait?" She writes in Polish. The manager, working from the front desk, gets a push notification instantly. He taps it, lands directly on the message, and types back: "Skip 412 for now, I'll update the task when they check out."

    Rosa · 07:04

"Pokój 412 ma jeszcze gościa — pomijam go?"

    Translated to your language

Room 412 still has a guest — do I skip it?

Skip 412 for now — I'll reassign when they check out.

    07:06

  2. 2

    09:30 — Issue found

Tomáš spots a damaged bathroom fixture. He doesn't need to call anyone.

In room 408, Tomáš notices a cracked towel rail. He opens the Discussion, taps the camera icon, and photographs it on the spot. Because he shoots directly through the app, the photo arrives with a Live badge. The manager sees it in real time — timestamped, verified, no question of when it was taken. He forwards it straight to maintenance without leaving Loopapa.

    09:31

  3. 3

    11:45 — Floor complete

The thread tells the whole story automatically.

By midday, the thread has logged every system event: who picked up which rooms, when each was marked done, and the one room that was skipped and why. The manager never had to ask for a status update. He just scrolls the thread and sees the morning in full.

Amara marked as Done · 11:03

  4. Result

Zero calls. Zero group chats. One complete record inside the task.

Rosa's language barrier disappeared the moment the manager read her Polish message — the translation was one tap away. Tomáš's Live photo reached the manager before he'd even left the corridor. And the audit trail was there before anyone thought to write one. The conversation lived where the work was.

Goes Further With

The research is clear. The tools should be too.

In-task chat doesn't live in isolation. It works best when it's connected to the rest of how your team gets things done.

What the research says

Productivity improves by 20–25% in organizations where employees are genuinely connected — able to ask questions, share updates, and get answers without friction. That's not a soft benefit. It's the difference between a team that moves and a team that waits.

Frequently asked questions

Everything you need to know before you start using Discussion threads with your team.

Can every staff member use the Discussion thread, or only certain roles?
Any team member the task is assigned to can send and receive messages in the Discussion thread. For team tasks assigned to everyone, all members share a single thread. For private tasks assigned to one person, only that staff member and the admin can see the conversation. No one outside the task assignment has access.
Can a staff member delete or edit their own messages?
Yes — but only until the manager has read the message. Once the blue seen dot appears, the message is locked for the sender. This keeps the thread honest and prevents retroactive changes to what was communicated. Managers can delete any message at any time, but can only edit their own.
What happens to the chat thread when a recurring task runs again?
Each run of a recurring task creates a fresh Discussion thread. Yesterday's questions don't carry over — every day starts clean. If you want instructions to persist across runs, the right place for them is the task description or the team Handbook.
How long are photos kept in the chat? Is there a storage limit?
As an admin, you control how long photo messages are stored. Under workspace settings, you can set media to auto-delete after 7, 30, or 90 days — or keep them indefinitely. Each photo is limited to 10 MB and compressed to 85% quality on upload. Text messages are not affected by the media retention setting.
How is the Discussion thread different from a team messaging app like WhatsApp or Slack?
The key difference is context. In a general messaging app, conversations about a task get buried in group chats or DMs, separated from the task itself. In Loopapa, the Discussion thread lives inside the task — the conversation, photos, status updates, and audit trail are all in one place. No channel to create, no thread to search for, no risk of the conversation disappearing into chat history.
What does the Live badge on a photo actually prove?
When a staff member takes a photo directly through the Loopapa camera — rather than selecting one from their gallery — the app marks that image with a Live badge visible to the manager. It confirms the photo was captured in real time through the app, not uploaded from a saved image taken earlier. Combined with the message timestamp, it gives managers reliable, timestamped visual evidence for any task.
