Compliance & Payroll

It's the last day of the month. Payroll is due, and someone asks: "do we have last month's hours ready?" A few days later, a different request comes in — a food-safety inspector wants to see the fridge logs.

Loopapa answers both requests the same way: a few taps, and the record is ready. This guide covers the two reports you can generate on demand — an employee work-hours report for payroll, and a HACCP compliance report for inspections. You'll see what's inside each one, how far back you can pull records, and who on your team can generate them.

Work Hours
HACCP

How do you generate a work-hours or HACCP report?

Both reports live in the same place: the Reports menu inside Task Management, the screen you already use to review and filter daily tasks. Set your date range, pick a report, and the file downloads immediately.

  1. 1

    Set your date range

Use the date filter already built into Task Management. How far back you can go is set by your plan's data history window — 7 days on Free, 30 on Starter, 180 on Pro, unlimited on Enterprise — the same window you see everywhere else in the app. Pick any range inside it, and the report covers exactly what you select.

  2. 2

Filter to one person, if you need to

The same staff filter narrows any report to a single employee — handy when payroll or an inspector only needs one person's record instead of the whole team.

  3. 3

    Pick your report and download

Tap Reports and choose: Temperature Report or Cleaning Report for HACCP, or Employee Work Hours, Work Hours Summary, or CSV for hours. Each one downloads straight away, ready to print, sign, or send.

What's actually in a work-hours report?

Loopapa turns the same clock-in and clock-out records into three formats, so you can match the report to what you actually need it for — a quick number before payroll, a printable detail sheet for a dispute, or raw rows for your payroll software.

PDF · detailed

Employee Work Hours

Every shift, every employee: clock-in, clock-out, and duration, with a total at the end of each person's section.

Best for: verifying a specific week or settling a dispute.

PDF · summary

Work Hours Summary

Just the daily totals per employee, no clock-in/out detail, so it's quick to scan across a whole pay period.

Best for: a fast overview before you run payroll.

CSV · raw data

CSV export

Employee, date, clock-in, clock-out, duration, and status in a spreadsheet-ready file.

Best for: importing straight into your payroll software.

What the CSV looks like once you open it:

What's in a HACCP report?

The same fridge readings and cleaning checks your team logs every day become two official documents — or a raw export, if you'd rather keep the data yourself.

See how temperature logging works →
PDF · Starter+

Temperature Report

Grouped by fridge or equipment, with its safe range, and a row per reading: date, time, temperature, any correction, who recorded it, and a signature line.

Best for: your routine compliance file, printed each week.

PDF · Starter+

Cleaning Report

A monthly hygiene checklist: every cleaning task down the side, every day of the month across the top, with a mark wherever a task was completed — plus a line for who checked it.

Best for: proving your cleaning schedule actually happened.

CSV · Pro

Raw data export

The same temperature and cleaning records as structured data, for your own record-keeping system or a food-safety authority that wants data instead of a printed sheet.

Best for: keeping a digital archive alongside the printed report.

Real example

A Friday at The Aldergate Hotel

Priya runs the front of house at a 40-room boutique hotel. On a normal Friday, two things land on her desk that have nothing to do with each other — except that Loopapa handles both the same way.

Friday, 4:45 PM

Payroll, before she logs off

Priya opens Reports, picks Work Hours Summary for the pay period, and has a PDF ready for the bookkeeper in under a minute. Sana and two others picked up extra housekeeping shifts this month — the totals are already right, pulled straight from their clock-ins.

Saturday, 9:00 AM

An inspector, standing at the front desk

The health inspector asks for the walk-in fridge log. Priya taps Reports again, this time Temperature Report, and hands over a signed PDF covering three weeks — Luca's routine morning checks, with the hotel's logo and a line for her signature already built in.

Two very different Fridays, same two taps — because both reports are just what the team already logged, reorganized into something Priya can hand someone.

How this connects to the rest of Loopapa

These reports don't ask your team to log anything new — they reorganize what's already being tracked elsewhere in the app.

Attendance tracking

Work-hours reports are built entirely from clock-in and clock-out data — nothing extra for anyone to log.

Temperature logs & hygiene checklists

HACCP reports come straight from the same fridge readings and cleaning checks your team already records.

Roles & permissions

Who can pull which report — and for which team or location — is controlled by the role you assign them.

Manage your people

The staff filter on every report uses the same employee list and settings you manage here.

Frequently asked questions

The details people usually want to know before they rely on these reports.

How far back can I pull a report?
As far back as your plan's data history window goes — 7 days on Free, 30 on Starter, 180 on Pro, and unlimited on Enterprise. Pick any range inside that window and the report covers exactly what you select.
What's the difference between the HACCP PDF and the CSV export?
The PDF is the official, printable document — your business name, logo, and a signature line, in the kind of format HACCP record-keeping guidance expects. The CSV is the same data as plain rows, for your own systems or an inspector who wants structured data instead of a printed sheet.
Can staff see the whole team's work hours?
No. Staff only see their own hours, from their own dashboard. Admins see everyone across the business; managers see only their own team.
What happens in the report if a shift is still open?
It shows a dash for clock-out and doesn't count toward the total until the person clocks out. In practice this rarely lingers — Loopapa requires staff to resolve any shift left open overnight before they can continue, so most records are already closed by the time you pull a report.
How long do I need to keep payroll and HACCP records?
That depends on your local rules — in the US, for example, the Fair Labor Standards Act requires at least three years for payroll records. Loopapa keeps your data searchable in-app for as long as your plan's data history window allows, so export and archive your PDFs or CSVs periodically if your rules require longer.
